Best quality and world class infrastructure mean nothing to a German buyer

International buyers want process controls, materials, tolerances, testing, certifications and response times. In most cases the difficult work inside the plant is already done. The communication has never proved it.

Mid-sized manufacturer · export communication

Helping an Indian manufacturer look ready for global buyers

The brief

A manufacturer wanting to enter Europe, whose communication depended heavily on phrases such as best quality and world-class infrastructure.

What we found

International buyers wanted facts and were receiving adjectives. Every claim on the website was unfalsifiable, which to a European procurement team reads as a company that cannot describe its own process.

What we built

We replaced the claims with documented capability: process controls, materials, tolerances, testing, certifications, export experience and response systems. Then standardised the website, presentations, email templates and factory-visit material so all four said the same thing.

What changed

The company had already done the difficult work inside the plant. Its communication finally proved it, and the conversations moved past the credibility stage that had been stalling them.

Buyers do not need to be impressed. They need to be able to verify. Those require completely different documents.

The document set that passes

01

Equipment list

Make, model, working envelope, quantity. Not photographs of unlabelled machines.

02

Process capability

Tolerances held routinely rather than achievable once, with the measurement method and frequency.

03

Inspection and calibration

Equipment, calibration status, and whether inspection is independent of production.

04

Certifications with scope

Standard, scope, issuing body, validity. The scope line is what buyers read and what most companies omit.

05

Material traceability

Certificates, batch records, and how far back you can trace when a field failure appears two years later.

06

Export track record

Countries, duration, and at least one problem you handled well. Buyers trust suppliers who can describe a recovery.

07

Standardised buyer-facing material

Website, presentation, email templates and factory-visit pack, all saying the same thing with the same numbers.

Manufacturer · sustainability communication

Making sustainability claims engineers could defend

The brief

The company wanted to talk about sustainability, increasingly because export customers were asking. Marketing proposed broad claims.

What we found

Engineering was uncomfortable approving them, and that hesitation was entirely justified. The proposed language would not have survived a customer audit and would have damaged a relationship worth considerably more than the marketing benefit.

What we built

We built the story from measurable changes instead: material reduction, energy use, process improvements, product life, scrap recovery and lower maintenance requirements. Every statement had an internal owner and supporting evidence.

What changed

The final communication was less dramatic, considerably more specific, and far more credible. It also passed the customer audit that arrived nine months later.

In export markets the restrained version is not a compromise. It is the only version that survives contact with a procurement team.

Every claim, its evidence, its owner

This is the working document behind any sustainability or capability communication. Three columns, and nothing gets published without all three filled in.

The owner column is what makes it hold. A claim belonging to marketing is a claim nobody defends when a buyer's quality team asks for the underlying data.

It is also reusable. The same ledger answers customer questionnaires, tender annexures and audit requests, which is usually three separate scrambles a year replaced by one maintained sheet.

Less dramatic than what marketing wanted to say. It survives a customer audit, which the dramatic version does not.

Before you ask

Should we translate the website?

Rarely the first priority. International purchasing teams work in English. Translation matters more for a headquarters presentation or a German trade fair than for the site. Spend on the capability documentation first.

Our price is higher than a Chinese supplier.

Then the argument is consistency, traceability, communication and the buyer's own risk exposure, quantified where you can. Where the buyer's own customers demand documented supply chains, that alone can decide it. Where the category competes purely on price, this is not your market.

A customer has asked for a sustainability declaration.

Build it from measured changes with named owners, in the format above. Broad claims fail audits and damage the relationship considerably more than saying less would have.

Can you help us find international buyers?

Buyer identification sits in my India market entry practice, which works in the other direction. For exporters my focus is making you credible and legible once a buyer is looking. Introductions are not something I sell.

What does your capability document look like?

If the honest answer is that there is not one, and the numbers get typed from memory into each vendor registration form, that is the piece of work. Send me whatever you currently send buyers.
